Job Description

Job Title: Executive Virtual Assistant

Location: Remote (Philippines-based preferred)

Type: Full-time

Schedule: Follows U.S. business hours (with flexibility as required)


About the Role

We are seeking a highly organized and proactive Executive Virtual Assistant to support executive-level management with day-to-day operations, communication, scheduling, and project coordination. The ideal candidate is detail-oriented, tech-savvy, and capable of managing multiple priorities in a fast-paced environment.


You’ll serve as the right hand to the executive team—ensuring that all administrative, communication, and organizational needs are handled efficiently.


Key Responsibilities


Administrative Support

  • Manage executive calendars, coordinate meetings, and schedule appointments across time zones.
  • Prepare and organize documents, presentations, and reports.
  • Handle inbox management — prioritize, respond to, and flag important emails.
  • Take meeting minutes and follow up on action items.
  • Organize digital files, folders, and databases in Google Drive or similar systems.


Communication Management

  • Act as the primary point of contact between executives, clients, and internal teams.
  • Draft, proofread, and send professional correspondence on behalf of executives.
  • Manage confidential and sensitive information with discretion.


Operations & Coordination

  • Assist with project tracking in ClickUp, Asana, or Trello.
  • Coordinate with multiple departments to ensure deadlines are met.
  • Support recruitment, onboarding, or HR-related coordination as needed.
  • Prepare travel itineraries, bookings, and reimbursements (if required).


Qualifications

  • 2+ years of experience as an Executive Assistant, Virtual Assistant, or Operations Coordinator.
  • Excellent English communication skills (both written and verbal).
  • Strong organizational skills and ability to prioritize effectively.
  • Proficiency in Google Workspace (Docs, Sheets, Slides, Calendar) and Microsoft Office Suite.
  • Familiarity with task management tools (ClickUp, Asana, Trello, Notion, or similar).
  • Tech-savvy and comfortable with automation tools (e.g., Zapier, Slack, CRMs).
  • High level of professionalism, confidentiality, and integrity.


Preferred Skills (Nice to Have)

  • Experience supporting U.S.-based executives.
  • Basic bookkeeping or reporting experience.
  • Knowledge of CRM or project management software.
  • Creative or marketing support experience (Canva, social media scheduling, etc.).
