About the Role

Drake Business Services Asia is a leading provider of Office Support Services in Japan, enabling our clients to focus on what they do best.


We’re looking for a Corporate Receptionist & General Affairs Support candidate for a global tech company based in Chiyoda-ku to assist our client in delivering an exceptional visitor and concierge experience.


As a member of the Reception & Concierge team, you’ll be responsible for managing greeting visitors, managing inbound calls, performing administrative duties, and providing a memorable visitor experience.

Responsibilities

In this role, you will be responsible for:


Reception Support

• Manage visitor appointments and registration procedures.

• Serve as the first point of contact for visitors and employees, providing courteous assistance.

• Issue building access badges and QR codes.

• Manage meeting room reservations.

• Handle phone calls and emails at the reception desk.

• Maintain tidiness and cleanliness of the reception area.

• Provide assistance for meetings or events (e.g., catering arrangements, cleanup) – currently not required.


Mailroom Support

• Receive, sort, and distribute incoming and outgoing mail, courier packages, and internal deliveries.

• Manage daily parcel deliveries from courier vendors.

• Handle delivery slips and records as needed.

• Assist with light tasks depending on workload.


Required Skills, Qualifications & Attributes

To be successful in this role, you’ll need:

• At least 1–3 years of work experience in a receptionist or related administrative role.

• Friendly, cooperative, and proactive in communication.

• Proficient in PC skills, especially MS Outlook.

• Able to communicate in English and Japanese (both spoken and written).

• Capable of handling multiple tasks efficiently.

• A valid work authorization in Japan.
