The Tenant Facility Administrator serves as the primary liaison between mall tenants and the facilities management team. This role is essential for ensuring that tenant spaces are properly maintained, compliant with mall standards, and that facility-related concerns are addressed promptly and professionally.

Responsibilities:

A. Tenant Support & Coordination

  • Act as the main point of contact for tenant facility-related issues.
  • Coordinate maintenance requests, repairs, and service schedules.
  • Ensure timely resolution of tenant complaints related to HVAC, electrical, plumbing, and other building systems.
  • Conduct checking and rounds for all retail and BPO tenants for technical concerns.
  • Coordinate and contact the contractor for rectification works and coordinate with concerned trades.
  • Coordinate with the technical team for site tenant visits for BPOs with their technical teams.

B. Documentation & Compliance

  • Maintain accurate records of tenant service requests, work orders, and facility inspections.
  • Ensure tenant compliance with mall safety, sanitation, and operational standards.
  • Assist in onboarding new tenants with facility orientation and fit-out guidelines.
  • Handle the issuance of gate pass, work permit, repair and maintenance work requests for business units.
  • Check and evaluate tenant work requests and issue them to the concerned trades.
  • Act as admin support for technical meetings with BPO/retail tenants during the construction planning stage turn over of unit.

C. Facility Oversight & Monitoring

  • Monitor the condition of tenant spaces and common areas.
  • Coordinate with engineering and housekeeping teams for preventive maintenance.
  • Support energy efficiency and sustainability initiatives within tenant spaces.
  • Perform checking/monitoring of work request or job order progress for the mall and BPOs.
  • Attend meetings with the contractors and building management for technical/administrative concerns.
  • Monitor work activity requests and coordinate with other departments such as architectural, civil, electrical, mechanical, IT & auxiliary.

D. Reporting & Communication

  • Prepare regular reports on tenant facility issues and resolutions.
  • Communicate facility updates, scheduled maintenance, and emergency procedures to tenants.
  • Collaborate with leasing and operations teams to support tenant satisfaction.

E. Other Duties

  • Perform all other related tasks assigned from time to time.

Qualifications:

Education:

  • Bachelor’s degree in Information Technology or Engineering.

Experience:

  • At least 1-3 years of experience in administrative work / Fresh Graduates are welcome to apply.

Skills:

The role requires strong skills in the following areas (derived from the nature of the responsibilities):

Technical Skills:

  • Familiarity with facility management systems (e.g., HVAC, electrical, plumbing, building systems).
  • Proficiency in Documentation/Record-keeping (service requests, work orders, gate passes).
  • Knowledge of mall safety, sanitation, and operational standards/compliance.

Soft Skills:

  • Communication Skills (Written and Verbal): Essential for acting as the primary liaison and communicating updates/procedures to tenants.
  • Problem-Solving and Troubleshooting: Required for ensuring timely resolution of tenant complaints and technical concerns.
  • Organization and Time Management: Needed for coordinating maintenance requests, monitoring work progress, and maintaining accurate records.
  • Collaboration: Necessary for coordinating with engineering, housekeeping, leasing, operations, and various technical trades (architectural, civil, electrical, etc.).
