Job Summary

We are looking for a meticulous and well-organized Administrative Assistant to offer administrative and clerical support to facilitate the smooth functioning of the office. The perfect candidate will be proactive, resourceful, and capable of managing a range of office tasks with precision and efficiency.


Duties and Responsibilities


Office Management:

- Organizing and managing both physical and digital filing systems and databases.

- Upholding office policies and procedures.

- Purchasing office supplies and overseeing inventory management.

- Coordinating maintenance and repair activities for the office.


Communication & Correspondence:

- Answering and directing incoming phone calls.

- Managing and forwarding emails, faxes, and other forms of correspondence.

- Welcoming and assisting visitors and clients.

- Composing, proofreading, and editing various documents, reports, memos, and presentations.


Scheduling & Coordination:

- Overseeing calendars and organizing appointments and meetings.

- Planning and coordinating meetings, conferences, and company events.

- Taking precise meeting minutes and distributing them accordingly.

- Arranging travel plans and itineraries, covering flights, hotels, and transportation.


Financial & Administrative Support:

- Preparing and reconciling expense reports.

- Assisting with basic bookkeeping duties such as processing invoices and monitoring budgets.

- Providing general assistance to other staff members and departments as required.

- Handling sensitive information with care.


Job Qualifications

  • Proficiency in office applications, especially the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace.
  • Strong typing and data entry abilities.
  • Familiarity with office management systems and protocols.
  • Exceptional written and oral communication skills.
  • Strong organizational and time-management skills.
  • High attention to detail and effective problem-solving capabilities.
  • Capacity to multitask and effectively prioritize responsibilities in a busy environment.
  • A professional and courteous demeanor coupled with excellent interpersonal skills.


Education and Experience

  • A high school diploma is generally required, with an associate's or bachelor’s degree often preferred.
  • Demonstrated work experience as an administrative assistant, office assistant, or in a comparable role is essential.
