Administrative & Clerical Tasks

  • Manage daily clerical operations including documentation, filing, and organizing office records.
  • Prepare, encode, and consolidate monthly summary files, spreadsheets, and logs.
  • Create and maintain templates, forms, and checklists (construction, pre-opening, operational forms).

Financial & Treasury Support

  • Issue daily petty cash reimbursements and accurately log all disbursements.
  • Monitor and update cash-on-hand logs.
  • Process cash advances every Wednesday and prepare payroll for salary disbursement every Saturday.
  • Maintain detailed records of monthly expenses, including snacks, construction materials, transportation, salary, fuel, and cleaning supplies.

Procurement & Canvassing

  • Conduct price canvassing for construction materials, services, and equipment.
  • Coordinate with suppliers and gather quotations for decision-making.
  • Track deliveries and ensure accurate documentation.

Operations & Pre-Opening Support (Hotel)

  • Perform weekly room checks and report maintenance or furnishing issues.
  • Assist in checking items in the hotel pre-opening checklist.
  • Monitor construction progress and coordinate reports (with caretaker sending updates).
  • Support day-to-day operational requirements for the hotel while still under construction.

Guest & Staff Coordination

  • Provide support to the admin head and other departments as needed.
  • Assist in communications, including messages for interviews, applicants, and suppliers.
  • Forward resumes and applicant details to management as required.

Other Support Duties

  • Help with organizational tasks for special events.
  • Assist in general workplace coordination and problem-solving.
  • Maintain daily work log of accomplishments and tasks.
