Job Summary:

The Fleet Coordinator is responsible for managing the daily operations of the company’s vehicle fleet, ensuring optimal performance, maintenance, and availability of vehicles. This role coordinates with internal teams, service providers, and drivers to ensure that all vehicles are safe, compliant, and well-maintained, while minimizing downtime and operational disruptions.

Key Responsibilities:

1. Vehicle Scheduling & Deployment

• Coordinate the assignment, dispatch, and rotation of vehicles based on operational needs.
• Maintain an up-to-date schedule for vehicle use, ensuring availability for rentals, transport, or executive use.
• Monitor vehicle check-in/check-out processes and trip logs.

2. Preventive Maintenance & Repairs

• Schedule and track regular preventive maintenance (PMS) for all fleet units.
• Coordinate vehicle repairs and servicing with accredited vendors and in-house mechanics.
• Monitor service records and ensure vehicles remain in optimal running condition.

3. Fleet Monitoring & Documentation

• Maintain accurate records of vehicle registration, insurance, LTO compliance, and emission testing.
• Monitor GPS tracking systems and generate reports for mileage, fuel consumption, and usage patterns.
• Keep documentation organized and accessible for audits and inspections.

4. Incident and Accident Handling

• Coordinate immediate response and documentation for vehicle accidents or breakdowns.
• Assist in arranging towing services, insurance claims, and repairs as necessary.
• Conduct or assist in root-cause investigations for recurring vehicle issues.

5. Cost Control and Reporting

• Monitor fuel consumption, maintenance expenses, and other operational costs.
• Assist in preparing fleet performance and cost efficiency reports.
• Propose cost-saving measures and initiatives to improve fleet utilization.
